Welcome to Bear Photography. By booking or utilizing our services, you agree to the following terms and conditions. These terms are designed to protect both the client and Bear Photography to ensure a smooth, professional experience.


1. Booking and Payments

  • Retainer Fee: A non-refundable retainer fee of $300 is required to secure your wedding date in our calendar. This retainer is due on the day of the engagement session and will be applied to your total balance.
  • Payment Schedule: Full payment must be made no later than 7 days before the scheduled event. Failure to make full payment by this time may result in cancellation of services.
  • Cancellation Policy: Cancellations must be made in writing at least 30 days before the scheduled event. The retainer fee is non-refundable. If cancellation occurs within 30 days of the event, the client is responsible for 50% of the remaining balance.

2. Event Coverage

  • Hours of Coverage: Our standard wedding photography package includes 8 hours of coverage. Any additional hours will incur an extra fee.
  • Engagement Sessions: Engagement sessions are complimentary with a wedding booking. Dates for engagement sessions are subject to availability.
  • Micro Weddings: Micro weddings are priced at $1500 for a set number of hours. Additional services may incur extra charges.
  • Golden Hour: We recommend scheduling your shoot within 2 hours of golden hour for optimal lighting conditions.

3. Rescheduling

  • Rescheduling Policy: In the event that you need to reschedule your session, you must notify us at least 14 days in advance. Rescheduling is subject to availability and may incur additional fees.
  • Force Majeure: Bear Photography is not responsible for rescheduling or refunding due to events beyond our control, including but not limited to natural disasters, severe weather, or illness. We will make every effort to reschedule under these circumstances.

4. Image Delivery

  • Timeline: Image delivery typically takes 4-6 weeks after the event date. We will notify you of any delays.
  • Editing: Bear Photography is committed to providing high-quality, professionally edited photos. Minor retouching is included in the package; however, extensive editing may incur additional charges.
  • Format: Final images will be delivered via an online gallery, with high-resolution downloads available. Physical prints can be ordered separately.

5. Copyright and Usage

  • Copyright: Bear Photography retains full copyright to all images captured during the event or session. Clients are granted a personal-use license, allowing them to print and share images for non-commercial purposes.
  • Usage Rights: Bear Photography reserves the right to use images for promotional purposes, including but not limited to website portfolios, social media, and marketing materials. If you do not wish your images to be used, please inform us in writing prior to your event.

6. Liability

  • Damages: Bear Photography is not liable for any loss, damage, or injury that occurs during the event or session. Clients assume full responsibility for their guests and personal belongings during the session.
  • Equipment Failure: In the unlikely event of equipment failure or loss of digital files, Bear Photography’s liability is limited to the return of all payments received for the contracted services.

7. Model Release

  • By booking Bear Photography, clients agree to grant permission for their likeness to be used in promotional materials. If any model releases are required for publication, Bear Photography will provide the necessary documentation.

8. Client Responsibilities

  • Timeliness: Clients are responsible for ensuring that the session starts on time. Any delays may result in reduced coverage or additional fees.
  • Location Permits: It is the client's responsibility to secure any necessary permits or permissions for photography at the chosen location.

9. Communication

  • Bear Photography will communicate with clients primarily via email or phone. It is the client's responsibility to provide accurate contact information and to respond promptly to any inquiries or requests for information.

10. Dispute Resolution

  • In the event of a dispute, both parties agree to resolve matters amicably. If a resolution cannot be reached, both parties agree to mediation before pursuing legal action.

11. Changes to Terms and Conditions

  • Bear Photography reserves the right to modify these terms and conditions at any time. Clients will be notified of any changes that may affect their booking.
